BASIC FUNCTIONS:
Under the direct supervision of the Deputy Secretary for Fiscal Affairs and Deputy Director of Accounting, the Executive Assistant is responsible for performing data entry for accounts payable functions and other administrative responsibilities.
Duties include processing claims using proper coding, recording, and reconciliation of payment transactions following Senate policy and procedures and State Controller’s Office (SCO) rules and regulations.
DUTIES:
Under the supervision of the Deputy Secretary for Fiscal Affairs and the Deputy Director of Accounting, the Executive Assistant will serve as the primary person responsible for answering phones, processing daily mail, ordering supplies, monitoring and responding to email inquiries and claims submissions, and scanning and converting documents.
The Executive Assistant will provide help-desk services, customer service, and staff training; communicate with the State Controller’s Office (SCO) regarding Senate warrant inquiries; assist in the updating and maintenance of the Senate Accounting Administrative Manual; and participate in the training and implementation of Accounting Department systems.
Other duties as assigned.
DESIRABLE SKILLS AND KNOWLEDGE:
Ideal candidates will have experience working in a fast-paced office environment.
The Executive Assistant must be able to work independently as well as function effectively within a team.
Successful candidates will have the ability to complete tasks on time following policies and procedures; a self-starter with attention to detail, the ability to prioritize and manage multiple tasks in a fast-paced environment; possess excellent organizational, communication, and interpersonal skills; the ability to maintain confidentiality and establish and maintain cooperative relationships with legislative staff and the general public.
Candidates should be proficient in Microsoft Office Excel, Word, Outlook and 10-key (must be able to develop and use Excel spreadsheets).
Candidates must possess a high level of integrity, and demonstrate reliability and flexibility.
Must have knowledge and ability to research discrepancies.
EDUCATION AND QUALIFICATIONS:
High school diploma required.
Bachelor’s degree preferred.

LOCATION, SALARY AND FILING DATE:
This position is located in Sacramento, CA.
Final salary will be commensurate with experience and education.
Seniority and significant experience are required to reach the higher end of the salary range.
